PTCC Privacy Policy

This policy explains how Prescott Area Trading Card Community (PTCC) handles information through ptccaz.com, including card show accounts and vendor applications. Good Game Family (GGF) supports the show and receives event payments through its Zeffy account.

Information provided through the website

Account information includes your account identifier, name or display name, email address, and profile information you choose to provide. When you sign in through Google, Google supplies the identity information authorized during sign-in; do not send PTCC your Google password.

Vendor applications collect the business or vendor name, contact name, email, phone, website and social links, merchandise categories, requested tables, power needs, special requests, accessibility needs, and any logo or image you upload. Some fields are optional. Describe the accommodation you need without including a medical diagnosis, identification document, or other unnecessary sensitive information.

We also keep application decisions, approved table counts, booking totals, payment-verification records, table assignments, requests for changes, and vendor agreement acknowledgments. Agreement records can include the submitting account, timestamp, version or link, and a copy of the terms accepted.

How the information is used

PTCC uses this information to operate accounts, review applications, contact applicants, manage approvals and bookings, verify payments, arrange tables and accommodations, provide show instructions, maintain booking and agreement records, and address support or safety issues.

Application receipts, approval notices, payment updates, and show instructions relate to your application or booking. Submitting an application is not a subscription to unrelated promotional messages.

Access and public information

Application and booking records are available to the applicant and authorized administrators through the website. Contact details, accessibility requests, internal review notes, and payment references are not included in public show listings.

Vendor-facing business information, such as a vendor name, logo, public website or social link, and published show participation, may appear in vendor profiles or show content when that content is published. Do not include private information in a logo or material intended to represent your business publicly.

PTCC and GGF personnel handling the event use relevant information for application review, booking, payment reconciliation, and event support. Direct accommodation requests to ptccaz@gmail.com if you need to discuss what information is necessary.

Service providers and payments

The website uses Base44 for hosting, account authentication, application data, file uploads, and application email delivery. Google sign-in, if selected, is also subject to Google's privacy practices.

Zeffy handles checkout separately. Payment information you enter there is processed under Zeffy's and its payment providers' policies. Do not enter card numbers or bank credentials into a PTCC application or support message. PTCC's booking records contain amounts, payment status, and transaction references used for verification, rather than a payment-card entry form.

The website uses browser storage to maintain sign-in state and related navigation. Hosting and sign-in services may process technical connection information to operate their services. Review Base44's Privacy Policy, Google's Privacy Policy, and Zeffy's Privacy Policy for their practices.

Retention and requests

Account, application, and booking records are kept to administer the service and event, reconcile payments, and handle follow-up questions or disputes. This website does not currently promise automatic deletion after a fixed period.

To request access to, correction of, or deletion of your information, contact ptccaz@gmail.com using the email associated with your account. We may need to verify the request. Some records may need to be retained for payment reconciliation, disputes, or applicable recordkeeping requirements. Requests concerning information held directly by Google or Zeffy may also need to be made to that provider.

Security and updates

Access controls restrict application records, but no online service can promise absolute security. Keep your sign-in credentials private and report suspected account misuse to PTCC.
